Assigning Resources To Projects
Working on one or two large projects at a time does not present the same challenges as handling 6 small projects each having a couple of weeks duration. Matching available resources and talent to a set of jobs can become a logistical impossibility without some help. This is exactly what happened about a month ago when we were managing a glut of projects and talent – so, we created this tool, a simple but effective spreadsheet really, that can help in comparing talent (IT Engineering & Skills capabilities) to job requirements and the spreadsheet provides us with a quick comparison of engineering prowess vs job requirements that is easy to compare. In the end, this is not about the tool itself – certainly it can be automated and improved – but, it is about a way to make several comparisons. A description of the spreadsheet and a link is provided below.

 

The spreadsheet consists of 3 simple sheets as follows; click here to download :
1. TECH SURVEY worksheet : Several sections are provided along with space for an engineer to denote his skill level on a specific dimension. We plan on using a similar form in the future with all applicants so that we can maintain this intelligence looking forward. Space has been provided to add any missing Languages, Op Systems, Hardware, Databases, Software and Skills. Additions made here, reflect to all other sheets on the document.
2. JOB REQUIREMENTS worksheet : Same in principle as the TECH SURVEY worksheet, here is where the project’s requirements are entered and form the basis for a comparison. If you want to add certain skills, please do so on teh TECH SURVEY worksheet and the information will parse all 3 sheets.
3. FIT COMPARISON worksheet : This sheet ignores any skills the engineer may have that are not required by the project and simply performs a subtraction between the TECH SURVEY and the JOB REQUIREMENTS. A “zero” in this case, is a perfect fit – a positive number is above requirement and a negative number is below requirement. The cells are color coded for convenience. Changing the calculation, can provide more strict or less strict fit results depending on project tolerance for delays.
The worksheets are protected but no password has been set. Please feel free to use and if you end up adding to the sheet, please share it back with us. We intend to formalize this practice as our IT business grows in scope and complexity and plan to create this into a proper relational database that can be queried by HR. But first, we need to work out the process and this is a good start.
